We have encountered an incident where an employee attempted to breach our IT security by attempting to send a company-owned licensed software installation file via email. In order to address this, we need to issue a warning letter. Could you please provide us with a draft of the warning letter? Thank you.

  1. Dear friend, Could you investigate the intentions of the employee behind their action? Was this done inadvertently? Are there any standard operating procedures in place to prevent security breaches of this kind? If so, are the employees aware of them? If the action was done deliberately, a warning letter may not be sufficient. You may have to take a sterner action, such as asking them to resign. Lastly, I suggest writing a draft of the letter and uploading it here for review. A senior colleague can then correct it. Thank you.
